If someone has to export three spreadsheets, clean them up, and check the math before a billing meeting, that is not reporting. It is a manual project that happens to end in a report.
I see this all the time in Aderant. The data is there. WIP, AR, timekeeper activity, realization, client and matter detail – all of it. The problem is getting the right people one reliable view before the issue gets old.
That is where an Aderant reporting consultant can help. Not by building a report for every question. By figuring out which questions matter, then giving the firm a repeatable way to answer them.
Why Aderant Reporting Gets Manual
Aderant holds a lot of detail. That is a positive until everyone needs a slightly different version of the same number. Then somebody exports it. Somebody else changes a formula. The report gets emailed around. And eventually one person becomes the only person who knows how to get the answer.
That works right up until the question changes, or two people bring different numbers to the same meeting. None of that means Aderant is missing the data. It usually means the reporting process was never built around the decisions the firm actually needs to make.
Start With The Decision, Not The Report
Before I recommend a dashboard, an Aderant SSRS report, or anything custom, I ask what decision the report is supposed to support. The format comes after that.
- Which WIP balances are getting old enough to put collection at risk?
- Where are collections slowing down?
- Which clients or matters are underperforming?
- Is a practice group on track for billing, productivity, or realization?
- Which timekeepers have a workload or utilization issue worth addressing?
Once that answer is clear, the path gets simpler. It may be a report the firm already owns. It may be one of the pre-built Aderant reports in FirmFocus. It may need automated distribution. Or it may be a custom Aderant report because the logic is unique. Build the report first and agree on the question later, and you usually get more output without more clarity.
The Real Cost of the Excel Workaround
The cost is not just the hours. Manual law firm reporting creates different versions of the same metric, adds spreadsheet risk, and slows down the conversation that needs to happen. A WIP item you see early can be worked. A WIP item you find after it has been sitting for months is a much different problem.
There is a trust issue too. If leadership has to spend the meeting asking which report is current and how a number was calculated, nobody is deciding what to do next.
When Custom Aderant Reports Make Sense
I am not going to tell you every question deserves a custom build. It does not. Recurring, common questions are often better served by a proven report that is ready to use.
Custom Aderant reports make sense when the firm needs unique logic, a specialized workflow, an integration, a nonstandard mix of data, or a management view that is not available any other way. The key is making that call before you invest in a bigger project than you need.
A Practical Next Step
Pick the reporting questions that keep coming back to finance, billing, and leadership. For each one, write down who needs it, how often, what decision it supports, and where the current process slows down. That will tell you pretty quickly whether to refine what you have, use a pre-built report, automate it, or build something custom.
SimplexBI helps firms turn Aderant data into reporting they can use. FirmFocus gives teams access to ready-to-use Aderant SSRS reports for recurring needs. For the harder reporting questions, we can help figure out the right solution.
